Greet them with a smile, treat them with respect that any customer deserves knowing they will come back. And never use the word NO. Always use the word Unfortunately. And always tell your customers how can we fix this for you.!

Using the word unfortunately is not a good choice.being positive in negative situation is always best. If there is something you can't do per company policy. After listening to customers request. Acknowledge their request and make sure they know you understand and reply with "what I can do is......" Never use no, I can't or unfortunately

And always tell them what you can do for them if you can't do want they want say "this is what I can do for you" so at least you can offer them something..

let them speak, gather intel on what they are actually after, help them within reason.
