External DescriptionLegal Administrative AssistantApplicants are advised that relocation of our Washington, D.C. metropolitan area offices is in progress, from offices near the White House and in Herndon, Virginia, to Capitol Hill and Tysons, Virginia. Anticipated completion summer 2019.The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world and the largest non-governmental aviation safety organization in the world (representing over 62,000 pilots at 35 U.S. and Canadian airlines) seeks a Legal Administrative Assistant for our Herndon/Tysons, Virginia, office. The Legal Administrative Assistant provides administrative support for Legal Department staff, working with paralegals and other support staff in the day-to-day activities of the department. Under general supervision and within the limitations of Association and department policy, s/he coordinates communications for the department and the flow of information between departments and any committees, members, and National Officers. S/he maintains appropriate discretion and protects the confidentiality of sensitive information received in the regular course of duties. S/he also keeps the General Counsel & Director Legal and Managing Attorneys apprised of National and Committee agendas and independently drafts correspondence for review and approval.S/he assists with weekly and monthly project status reports; provides word processing services for the Director and staff; develops presentation materials; verifies charges and charge-backs; directs requests for information to the appropriate staff; prepares responses to inquiries; maintains the Director's and department calendars; drafts correspondence for the Director's signature; maintains subscriptions; receives telephone calls and greets visitors; reviews incoming mail and distributes accordingly; schedules conference rooms and appointments; organizes meals and technical support for meetings and conferences; maintains department supplies and equipment; tracks and maintains schedules and contact information for department staff; makes travel arrangements; provides word processing, copying, filing, and expense submission support; handles administrative matters; assists in the orientation of new employees; and, provides backup support to the Sr. Legal Administrative Assistant.Travel: 0 - 2%.Minorities, veterans, and people with disabilities are encouraged to apply.Minimum Requirements:* High school diploma required, with some post-secondary education and/or college preferred; or, the equivalent combination of education and practical experience.* Minimum three (3) years of related experience required, four (4) or more years preferred.* Software: Microsoft Office Word, Excel, PowerPoint, and SharePoint.* Solid communication and interpersonal skills, oral and written, to work effectively with all levels of contacts, internal and external.* Strong customer service skills required.* Strong attention to detail while working in a constantly changing environment.* Knowledge of legal terminology and procedure, and knowledge of technical language and documents relating to the nature of the Department.* Excellent proofreading skills.* Ability to learn new technologies and applications preferred.* Word processing speed of 50 wpm required, 60+ strongly preferred.Physical Demands:Note: The physical demands described herein are characteristic of those that must be met to successfully perform the essential functions of this position.
