If you are looking for a legal department where you can innovate, collaborate and lead, all while providing real world solutions to complex problems for the Company, then you have found the place.Job DescriptionWe are searching for a dynamic and highly experienced Legal Operations Project Coordinator to report to the VP & Deputy General Counsel, Commercial Legal Group (CLG). In this role, you will provide support directly to the VP & Deputy General Counsel as well as the VP's direct reports, performing tasks and managing projects on behalf of the global Commercial Legal Group. The position will be located in VMware's Reston, Virginia office.You will own a range of administrative, executive support-related and operational tasks and work independently within established guidelines. You must be able to work efficiently and effectively in a fast-paced environment and have a proven ability to independently manage multiple tasks with competing priorities. You will make decisions in planning, organizing and scheduling various meetings and supporting and/or driving various projects.The ideal candidate must possess excellent judgment, communication and interpersonal skills. Responsibilities of this role include, but are not limited to the following:Core Responsibilities* Schedule and manage demanding Outlook calendars, prioritize and resolve schedule conflicts* Coordinate complex domestic and international travel, complete expense reports in a timely manner.* Handle confidential information in a professional and discreet manner* Onboard new Outside Counsels, manage POs, invoices and monthly accruals in liaison with eBilling Team* Coordinate the Commercial Legal Group's training logistics* Assist the executives in managing the Commercial Legal Group's budget in liaison with Finance, providing budget updates and forecasts* Plan and manage onsite and offsite events.* Able to stay late if required.* Assist the executives in preparing presentations and managing projects* Assist the executives in managing team goals, metrics and reporting, on a weekly, monthly, quarterly, and annual basis* Coordinate and/or manage other special projects on behalf of the Commercial Legal Group, independently or in liaison with other teams in Finance or Legal Operations.Required Skills:We are seeking a forward-thinking, strategic, broad-based legal professional, who demonstrates the following:* You have a minimum of 5+ years providing a combination of executive administration support and operational management.* You have experience managing calendars, budgets, reporting, and extensive international and domestic travel itineraries.* You are proficient with Microsoft Office products, including intermediate to advanced level skills in Word, Excel and PowerPoint.* You are a self-starter, highly organized and with excellent attention to detail.* You have strong project management skills and the ability to perform multiple tasks and handle changing priorities successfully with little supervision* You are a practical and enthusiastic problem-solver who is confident, mature and calm under fire and can work independently in a dynamic, fast-changing environment* You are a well-rounded, engaging and personable individual with excellent verbal and written communication skills.* You have the ability to work cross-functionally and cross-culturally, and are able to work with individuals at all levels of the organization* You demonstrate the highest degree of personal and professional integrity and ethicsPreferred Skills:* A candidate with prior experience in an inhouse legal department is preferred.* Having demonstrated experience with various business applications, including Concur, Coupa, Oracle EBS, SAP, Tableau, SharePoint, and Smartsheet is also a plus.This job opportunity is not eligible for employment-based immigration sponsorship by VMware.Apply now Apply now
